The Admin Buyer's Lab Equipment Checklist: Ohaus Bench Scales, Analytical Balances & More

Four years into purchasing for a 45-person engineering firm, I have a confession: most lab equipment mistakes do not happen because the instrument is bad. They happen because somebody rushed the checklist.

I manage all instrument ordering—roughly $180,000 a year across 12 vendors. I report to both operations and finance, which means I see the same failure patterns from both sides: equipment that doesn't fit the workflow, software nobody uses, and invoices that create paperwork nightmares.

This is the 6-step checklist I now use for lab and field instruments. Step 1: List every instrument before you touch a spec sheet

For a lab setting, allocate time for the people who will actually use the equipment. Not the budget owner—the operator. Check three things with every vendor:

  • Are repair and calibration services available beyond the warranty period?
  • Do they answer support questions within a reasonable time?

Price matters. Speed matters. But a vendor who cannot give you a proper invoice is not a vendor—they're a liability.

Step 6: Budget for lifecycle costs, not just the purchase price

I have mixed feelings about instrument software. On one hand, automatic data logging is brilliant. On the other, the license and training cost can quietly double the project budget. So ask for prices on:

  • Replacement parts: pan, draft shield, calibration weights
  • Annual calibration service
  • Software licenses and upgrades
  • Carrying cases and spare batteries for field instruments

For a Carl microscope, objectives alone can cost more than the microscope body. For an Ohaus bench scale, the legal-for-trade configuration might add certification cost. For a thermal camera, the analysis software might be separate. Get all of it in writing.

And don't ignore shipping. According to USPS pricing effective January 2025, a First-Class Mail large envelope (1 oz) is $1.50 (usps.com/stamps). That's fine for sending small items. For a bench scale, you'll be arranging freight. Plan for both.

Also think about redundancy. Part of me wants to consolidate everything with one supplier for simplicity. Another part knows that having a backup vendor saved us during the supply chain mess in 2023. You don't need two of every instrument—but you should know which vendor can deliver a critical replacement in three days.

Common mistakes I've stopped making

A few last notes:

  • Don't place an analytical balance next to a door. It will drive everyone crazy.

  • When you compare quotes, ask every vendor the same questions. Otherwise, the quotes are useless.

Consistency matters more than the initial savings. The checklist is boring. It's supposed to be. Work through it before the PO, and you'll save yourself the kind of call I used to dread: "the scale is here, but it's not reading right." That's not a scale problem. That's a checklist problem.
